Team Assistant (maternity cover) (m/f/d)

IN SHORT

The Team Assistant provides comprehensive administrative and operational support to ensure the efficient functioning of the team. Acting as a key point of contact and liaison between the function and internal/external stakeholders, this role helps streamline workflows, facilitates information flow, and enhances overall productivity. The Team Assistant ensures compliance with company policies and procedures while supporting day-to-day operations and special initiatives.

WHAT WILL YOU DO

  • Manage incoming emails and calls to maintain smooth processes, effective communication, and compliance.
  • Coordinate calendars, schedule appointments, and organize meetings.
  • Arrange meetings, workshops, offsites, and visits of external colleagues. Ensure proper preparation, alignment with relevant functions, and timely communication of details (date, time, venue, etc.). Organize catering and activities as required.
  • Book and organize travel (flights, accommodations, itineraries) to ensure safe, cost-effective, and well-planned journeys. Support employees with visa applications.
  • Assist with budget tracking, process expense reports, and manage purchase orders to ensure accurate financial record-keeping. Review expenditures, identify discrepancies, and ensure compliance with company policies.
  • Maintain accurate and up-to-date department files, records, and materials.
  • Handle confidential documents, agreements, and contracts, ensuring timely review and signature by executives. Return signed documents to appropriate departments and archive securely in compliance with company policies.
  • Support the Joiner/Mover/Leaver process by applying for access rights, ordering IT hardware and stationery, etc.
  • Assist with special projects and initiatives as assigned by the function manager or team members.

WHAT WILL YOU BRING

  • Relevant qualifications and proven experience in a similar administrative or assistant role.
  • Proficiency in IT tools such as Microsoft Office and SAP.
  • Ability to support project coordination by tracking tasks, deadlines, and progress.
  • Language skills: German at C2 level (business fluent), English at minimum B2 level.
  • Team-oriented mindset with adaptability to changing priorities and effective collaboration across departments.
